Reasons The cause of the problem was determined to be trading partners that were unable to conduct e-business with the company. These trading partners flooded our client’s accounts payable department every month with thousands of paper invoices. Customer service and accounts payable staff members were required to match and reconcile incoming paper invoices with their associated purchase orders. Nearly 20% of the invoices contained errors or did not match the original PO. These invoices required additional time and expense to investigate and reconcile the differences before payments could be made to the suppliers. Capabilities Needed The manufacturer needed to automate their order and invoice matching processes, so they introduced an EDI initiative with their suppliers. However, many suppliers were not EDI capable. The company wanted to continue to do business with these non-technical suppliers, but could not afford the overhead associated with manual processing. InfoAccess.net Provided InfoAccess.net provided a solution that catered to the least technical suppliers- those that could only operate using faxed documents. The manufacturer continued to send all purchases orders via EDI, and we translated them into faxed documents for over 900 suppliers. In addition, these suppliers submitted all corresponding invoices via fax to InfoAccess.net. Not only did we translate the documents into the defined EDI format, we validated each invoice for accuracy using the manufacturer's invoicing rules. All invalid invoices were rejected, and the suppliers were coached on how to submit accurate invoices. Results Our client's invoice accuracy rate sky-rocketed to 99.9% in just a matter of months. Our invoice matching solution enabled the manufacturer to re-deploy a large portion of their Accounts Payable staff. The associated cost savings went straight to the bottom line as increased profit.
